Driver qualification files

Keep each driver's qualification file, including papers a carrier already has to hold under FMCSA rules. The file stays after the driver leaves. This is your record. It is not an FMCSA certification.

Weekly settlements

Prepare a weekly statement. Hold pay in the person's balance, or pay it directly. A withdrawal is recorded when money leaves that balance, including an amount that is still held.

Contracts and leases

Send a contract or a lease and collect a signature the person draws on the page.

W-9 and annual pay summary

The office can enter W-9 details and open a year-end summary of pay already recorded on statements. That summary is not a form filed with the IRS.

Documents and expiry

Store licenses, medical cards, registrations, and other files, and see which dates have passed or are coming due.

Security

One company's records are not shown to another company. Office sign-in can require an authenticator app. Taxpayer IDs and similar personal numbers are encrypted.
